Junior Estimator / Project Coordinator - Commercial Flat Roofing
We are a highly respected 5-Star mid sized commercial roofing contractor in the Kitchener Waterloo area specializing in flat roofs.
We are seeking a Junior Estimator / Project Coordinator who is detail-oriented, organized, and proactive - helping to bridge the gap between initial bidding and final job closeout.
In this dual role, you will perform material takeoffs and prepare accurate commercial flat roofing estimates while managing project workflows, client documentation, compliance, and closeout requirements. You will serve as the hub connecting sales, field crews, suppliers, and clients to ensure every project runs smoothly and finishes profitably.
Duties
- Perform accurate plan markups and material takeoffs (TPO, EPDM, Mod Bit, insulation, sheet metal) using estimating software.
- Request and compare vendor and subcontractor pricing quotes for upcoming bids.
- Draft detailed, customer-ready commercial proposals and scope-of-work documents.
- Assist senior estimators and management with site visits, measurements, and pre-bid meetings.
- Set up new job files in project management software and ensure all contract details match the approved estimate.
- Secure necessary city permits, submittals, safety plans, and material safety data sheets (MSDS).
- Track material orders, delivery timelines, and crew schedules to keep jobs on timeline.
- Process and track change orders promptly when job-site conditions vary.
- Compile final closeout packages for building owners (warranties, maintenance guidelines, inspection sign-offs).
- Coordinate manufacturer warranty inspections and track punch-list completion to 100%.
- Perform post-job costing reviews by comparing actual material/labor costs against initial estimates to protect profit margins.
- Send final invoices, collect client sign-offs, and request reviews/referrals upon completion.

What do you need to have?
- 1–3 years in construction administration, project coordination, or assistant estimating (commercial roofing experience preferred).
- Proficiency in digital takeoff software (e.g., RoofSnap, Edge, PlanSwift) and CRM/project management tools (e.g. Procore, JobNimbus, AccuLynx).
- Strong numerical aptitude for reading blueprints, calculating square footage, and managing job costs.
- Exceptional multi-tasking abilities with strict attention to detail and deadline management.
- Strong communication and relationship-building skills.
- Strong Computer experience.
